Privacy statement

We process financial and personal data for our clients. This statement explains which data that is, why we process it and which rights you have.

Who is responsible

Startup Accounting B.V. is responsible for processing personal data as described in this statement. We are registered with the Dutch Chamber of Commerce (KvK) under number 96617845 and located at Lijsterbes 7, 8141 TG Heino, the Netherlands. Ledgra is a trade name of Startup Accounting B.V. Which data we process

We process the data you provide yourself and the data needed to deliver our services.

  • Contact form: your name, business email address, company name, phone number, website and the answers you give in the intake.
  • Client account in the client portal: your name, email address and an encrypted representation of your password.
  • Accounting records and documents: the financial data and files you provide or that arrive through an integration.
  • Messages and tasks: the communication you have with your accounting team through the client portal.

What we use it for

We only use your data for the purposes for which you provided it.

  • Responding to your enquiry and scheduling an introduction.
  • Delivering the agreed services: bookkeeping, tax filings, reporting and advice.
  • Meeting legal obligations, including the Dutch statutory retention period for tax records.
  • Securing our systems and preventing misuse of forms.

Legal basis

For clients, we process data to perform our agreement and, for bookkeeping and tax filings, to comply with legal obligations. For enquiries through the contact form, we rely on your consent and on our legitimate interest in responding to a question.

Cookies and tracking

This website does not use analytics cookies, advertising cookies or third-party trackers. In the client portal we set one functional cookie to keep you signed in. It is required to log in and does not follow you across other websites. If you book a call through our calendar link, Calendly's terms apply there.

Who we share data with

We do not sell your data. We only share it with parties needed to deliver our services, and only as far as necessary.

  • The Dutch Tax Administration (Belastingdienst) and the Chamber of Commerce, for tax returns and filings.
  • Our bookkeeping and integration providers, including Exact Online and Moneybird, in your own environment.
  • Our CRM system (Productive), where enquiries from the contact form are recorded.
  • Our hosting, storage and email providers, including Vercel, which act solely as processors.
  • Specialists we involve in a specific engagement, such as a tax adviser or auditor, and only after agreeing this with you.

How long we keep data

We keep contact-form enquiries for as long as needed to handle your question and, if no client relationship follows, no longer than necessary. We keep clients' accounting records for as long as Dutch law requires: in principle seven years for tax records, and ten years for records relating to real estate.

How we protect data

Access to the client portal uses personal accounts with their own password, which we only store in encrypted form. Traffic with the website and the client portal runs over an encrypted connection. Documents are exchanged through the client portal rather than by email, and access to client data is limited to the people who need it for their work.

Your rights

You have the right to access, correct or delete your data, to object to processing or have it restricted, and to request a copy of your data. Send your request to jeroen@ledgra.io.

  • We respond to your request within one month.
  • Deletion can be limited by statutory retention periods for accounting records and tax filings.
  • If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

We may update this statement when our services or the regulations change. The current version is always on this page.
